Groups
Groups are named containers of people drawn from your directory. Use them to enroll many people at once, to scope a role assignment, and to keep reporting organized — a class, a cohort, a team, a department, or a segment of customers. Membership is either something you manage by hand or something a rule keeps in sync for you.
What this does
Section titled “What this does”Groups lives in the People section of your navigation. It lists every group in the organization you’re currently working in, with its type, its parent group, its status, and when it was created. The Status filter starts on Active, so archived groups are hidden until you change it.
Groups nest: any group can sit under a parent, so a department can hold teams and a programme can hold cohorts.
“Group” is Lurno’s default word and your organization may rename it. See Terminology.
Before you start
Section titled “Before you start”- The people you want to group should already be in your directory. If they aren’t, invite them first.
- Decide whether membership will be hand-managed or rule-driven. You can change your mind later — the choice isn’t stored on the group, it just decides where the wizard drops you at the end.
Create a group
Section titled “Create a group”- Open Groups and choose New group.
- Step 1 — How will members join? Pick I’ll add them manually or Anyone matching a rule auto-joins.
- Step 2 — Details. Give it a name and an optional description, choose a Type — Cohort, Class, Department, Program group, or Custom — and optionally place it under a Parent group.
- Choose Create group.
If you picked the rule option, Lurno opens the new group’s editor straight away so you can define the rule. If you picked manual, the group is created empty and you fill it from the directory.
Add and remove members
Section titled “Add and remove members”Membership is edited from the directory, not from inside the group.
- Open People and filter or search until you have the people you want.
- Tick them. A selection bar appears at the bottom of the screen.
- Choose Add to group, pick the group, and confirm.
Remove from group sits behind the same selection bar’s More actions menu. You can also choose Select all matching to act on everyone behind your current filter rather than just the page you’re looking at — useful for moving a whole cohort in one action, though it stops at 2,000 people, so split very large filters into narrower ones.
Opening a group from the Groups list gives you its editor, with these sections:
- About — name, description, and the type badge.
- Placement — the parent group.
- Members — everyone currently in the group. Each row has Make lead (or Remove lead) and Remove. A group lead can edit the group and add or remove its members.
- Dynamic membership — the optional rule, described below.
Keep a group in sync with a rule
Section titled “Keep a group in sync with a rule”Open the group and use its Dynamic membership section.
- Build the rule from directory attributes. The available ones are Status, Locale, Joined, Last active, Role, Branch, Audience group, and Group. Custom fields your organization has defined are not available here.
- Set the combinator at the top — match all or any of the conditions — and add as many conditions as you need.
- The preview underneath reports how many members would be in the group right now and lists the first ten, so you can sanity-check before saving.
- Choose Save rule.
Once saved, Lurno refreshes membership on its own every five minutes, and the section shows the last match count and the time of the last refresh. Refresh now applies the rule immediately and reports what changed as +added / −removed. Remove rule detaches it and leaves the group’s current membership in place as a hand-managed group.
Two things to be clear about. A rule adds and removes membership only — it never grants permissions, so role assignments stay explicit. And a rule and a hand-managed list can coexist in the same group: the refresh only ever removes people the rule itself put there and who no longer match, so anyone you added by hand stays. Someone the rule added, though, comes straight back on the next refresh if you remove them by hand and they still match.
Use a group elsewhere
Section titled “Use a group elsewhere”Groups are how you act on many people at once:
- Enrollment — enroll a whole group into a program in one step. See Enrolling people & groups.
- Role scope — assign a role that applies only within one group. See Roles & permissions.
- Directory filters — filter People by group, and save that view.
Archive a group
Section titled “Archive a group”Groups are archived, not deleted. Use Archive on the row, or the danger zone in the group’s editor, which shows how many members are affected before you commit. Archived groups disappear from filters, assignment pickers, and selectors; members stay attached, and you can restore the group within 30 days. Archiving from the list also offers a short Undo window.

Troubleshooting
Section titled “Troubleshooting”I can’t add members from inside the group. That’s by design — the group editor removes members but doesn’t add them. Select people on People and use Add to group.
My rule matches nobody. Check the preview before saving: it tells you the count immediately. The usual cause is a condition on an attribute that isn’t populated for those people, or an all combinator where you meant any.
Someone I removed by hand came back. The group has a rule and they match it, so the next refresh re-added them. Narrow the rule, or remove the rule if you want to manage the group by hand.
A rule-driven group looks out of date. The scheduled refresh runs every five minutes. Use Refresh now if you need it applied immediately.
A bulk add didn’t reach everyone. Select all matching stops at 2,000 people. Narrow the filter and repeat until the whole population is covered.
Someone isn’t in the list when I try to add them. They may not be in your directory yet, or they may sit in a different organization in your tree. Confirm they’ve accepted their invitation and that you’re working in the right organization.
I don’t see Groups in my navigation. It needs the same permission as the directory. Ask someone who manages roles in your organization.
