Enrollment overview

Enrollment is how people gain access to a program. Depending on your context, the people who enroll might be employees, customers, students, or pupils. This page explains how the Enrollment area is laid out and which controls actually decide who gets in.

Enrollment links a person (or a group) to a specific program, so they can start learning and you can track their progress. From here you decide who is allowed in, review join requests, manage the waiting list, and move or remove people.

“Programs”, “learners”, and “groups” are Lurno’s default terms. Your organization may rename them — see Terminology.

  • You need permission to manage enrollment.
  • The program must be published and have enrollment turned on. Enrollment is not switched on from this area — you open the program (or assessment) and use its Enrollment tab. See “Turning enrollment on” below.
  • The people you want to enroll already have access to your organization, or you are ready to invite them. See Inviting people.

Opening Enrollment shows a hub headed What would you like to do? with four action tiles — Add people, Transfer people, Remove people, Manage groups — then a Needs your attention panel, a Browse strip, and a System status heading that only fills in when the background group-sync queue has a backlog. A panel down the side of the section carries the full navigation, grouped as Overview · Browse · Actions · Manage:

  • Home — the hub.
  • Programs — every program that has enrollment turned on, in a table of Program · Access · Seats · Updated. Open one to manage it.
  • Groups — cohorts, and which programs each one is linked to.
  • People — everyone in the organization. Open a person to see their enrollments and groups.
  • Add people, Transfer, Remove — the three enrollment wizards.
  • Requests — the inbox for join requests and the waiting list.
  • Settings — org-wide enrollment defaults (admins only).

Tiles you don’t have permission for are shown disabled with the reason; navigation rows for actions you can’t perform are hidden entirely. The Transfer and Remove tiles are also disabled while the organization has no enrollable programs.

A program only appears under Enrollment once it has an enrollment record. You create that from the program itself:

  1. Publish the program. Until it is published, its Enrollment tab only says the program isn’t enrollable yet.
  2. Open the program and go to its Enrollment tab.
  3. If enrollment isn’t set up yet, the tab explains that the program is open access and offers Set up enrollment.
  4. Choose who can take it — Public, Anyone in the organization, or Specific people — and continue.

The program now appears in Enrollment → Programs with a roster, join requests, a waiting list, and seat controls. The same flow exists on an assessment’s Enrollment tab.

If you need a second run of the same program — a separate cohort, semester, or audience with its own roster — open the program in Enrollment, go to the Who can join tab and choose New cohort. Give it a name, pick who can take it, and optionally set Max seats.

Each program has one access mode, shown as a badge and editable from the Who can join tab via Change.

Public Public Anyone with the link can take it. You still see who took it on the roster.
Anyone in the organization Organization Only members of your organization can take it.
Specific people Restricted Only invited people or groups can take it — you manage the roster, or approve a request.

A restricted program is what produces join requests: a learner who finds it sees Request access instead of a join button, and submits a short reason. See Applications, requests & waitlists.

Programs can also require consent, approval, or payment before an enrollment becomes active. Those requirements are configured for your organization by Lurno — there is no self-serve screen for them — but their effect is visible everywhere: enrollments you push land as “Need consent”, “Need approval”, or “Need payment” instead of going straight through.

Open a program under Enrollment to get five tabs:

  • Enrolled people — the roster for this run. Per-row actions depend on state: Activate and Withdraw while an enrollment is awaiting activation; Suspend, Mark complete and Withdraw while it’s active; Resume and Withdraw while it’s suspended. Rows that are already completed, withdrawn, or expired carry no actions.
  • Join requests — pending requests awaiting a decision.
  • Waiting list — people queued when the program is full, in priority then arrival order.
  • Seat reservations — blocks of seats held for your organization or for a group.
  • Who can join — the access mode, plus New cohort.

Max seats is set when the program’s enrollment (or an extra cohort) is created. Once set, it is not editable from the interface — to change the seat count for a run, create a new cohort with the seat count you want. Seat reservations can be added at any time and hold part of the total for your organization or for a group. See Applications, requests & waitlists.

When a program is at its seat limit, people you add are routed to the waiting list rather than the roster.

Settings holds four org-wide defaults, and needs the Manage offerings permission (non-admins see an “Admins only” notice):

Guardian consent threshold The age below which a learner needs guardian consent before an enrollment becomes active.
Invite link default expiry How long generated links stay valid by default. Stored for future use — there is no invite-link generator in the interface today.
Auto-create profiles for email-only invites When on, people invited by raw email get a profile created on click. When off, they must finish account creation first.

Permission names below are the labels used on the roles screen.

The controls on a program’s own tabs — Change access mode, New cohort, seat reservations, request decisions, roster actions — are drawn for everyone who can open the program. If you don’t hold the permission behind one, the button is still there and the change fails with an error when you confirm it.

A program isn’t listed under Enrollment. Enrollment hasn’t been turned on for it. Publish the program, then open its Enrollment tab and choose Set up enrollment. Programs lists only enrollment-enabled programs, and the wizards only offer published ones.

People can’t join on their own. Check the access mode on the Who can join tab. Restricted programs never allow self-joining — people request access and you approve. Organization mode is limited to members of your organization.

New enrollments land on the waiting list instead of the roster. The program is at its seat limit. Free a seat by removing or completing someone, or create a new cohort with more seats, then offer the seat from the Waiting list tab.

Enrollments fail with a plan-limit message. Your organization’s subscription caps how many active enrollments it can hold. The wizard reports “Plan limit reached” and names how many rows were refused. See Billing & plans.

A person is enrolled but sees nothing. Content may be gated by a release window, prerequisite, or drip schedule. See Drip content and Prerequisites.
