Transfers & removals

Transferring moves someone from one program to another. Removing takes someone out of a program they’re enrolled in. Both are step-by-step wizards, both handle several people at once, and both let you note why.

A transfer ends someone’s enrollment in one program and creates a fresh one in another, linked back to the old one and stamped with the progress policy and reason you chose. A remove unenrolls them: their progress in that program is archived and they lose access to its lessons immediately.

A program may be renamed in your organization (a course, a track, a curriculum, a learning path); see Terminology.

  • You need permission to manage enrollment.
  • For a transfer, the destination program must exist, be published, and be different from the source.
  • Decide up front what should happen to the person’s access. Removal ends it immediately and can’t be undone once the undo window closes.

Use a transfer when the person should keep learning, just somewhere else — moving between two cohorts, reassigning to a different team’s track, or correcting an enrollment made in the wrong program.

Use a remove when the person should no longer be enrolled at all — a mistaken enrollment, someone who left the team or class, or a cleanup before archiving a program.

If you only need to pause someone rather than move or remove them, open the program’s Enrolled people tab instead: an active row offers Suspend, Mark complete, and Withdraw, and a suspended row offers Resume and Withdraw.

  1. Go to Enrollment → Transfer, or open a person under People and choose Transfer. Either way the wizard starts empty — it does not pre-select the person you came from.

  2. From. Pick the single program people are moving out of.

  3. Who. Pick people from that program’s active roster. Search by name or email, tick as many as you need, and use Show more for large rosters.

  4. To. Pick the destination program. The source is excluded from the list.

  5. Review & confirm. Confirm the From, To, and the number of people. Open Progress policy and reason (optional) if you want to change either:

    • Preserve (the default) — the stated intent is to carry existing progress forward.
    • Reset — the stated intent is for the learner to restart.
    • Partial — the stated intent is to keep completed lessons and reset in-progress ones.

    The reason box is optional and free text.

  6. Choose Move people.

A note on what the policy actually does today: it is stored on the new enrollment and written into the transfer’s history event, so reporting and audit can see the intent. Nothing erases work as a result of it. Progress is held per person per lesson, so moving someone to another cohort of the same program leaves everything they’ve done intact regardless of which option you choose, and moving them to a genuinely different program has nothing to carry across. Don’t rely on Reset to clear someone’s history.

  1. Go to Enrollment → Remove, or open a person under People and choose Remove from a program. As with Transfer, the wizard starts empty.
  2. Pick program. Pick the single program to remove people from.
  3. Who. Pick people from that program’s active roster.
  4. Confirm. The step spells out how many people this unenrolls and warns that their progress is archived and access to lessons ends immediately. Add an optional reason — it’s captured in the history event for audit purposes.
  5. Choose Remove people.

Both wizards finish with a toast summarising what happened. When every row went through, that toast carries an Undo button for about 30 seconds; if any row failed, you get an error toast with the breakdown and no Undo. Undo reverses only the rows that actually changed — a removal is re-enrolled, an enrollment is withdrawn. A transfer’s undo withdraws the destination enrollments rather than replaying the move in reverse. If someone else has changed those rows in the meantime, the undo reports that it had no effect.

Once the toast has gone, redo the change with the opposite wizard.

Both wizards select from one program’s active roster at a time, so a batch shares the same source, the same destination, and the same progress policy. Split the work into separate runs when people need different outcomes. There is no option to transfer or remove a whole group in a single selection — pick the individuals from the roster.

Credentials that were already issued are not revoked by a transfer or a removal — nothing in either path touches them. Manage those separately under Certificates.

The destination isn’t listed. The wizards only offer published programs that have enrollment turned on, and the source program is deliberately excluded from the destination list.

Nobody appears in the Who step. That step lists the source program’s active enrollments only. People who are pending, suspended, completed, or already withdrawn won’t show.

The final button is disabled. Either a step is incomplete — a program and at least one person are both required — or you don’t have permission to manage enrollment. Hover the button for the reason.

I removed the wrong person. Use Undo in the toast if it’s still showing. Otherwise re-enroll them with the Add people wizard — that creates a new enrollment record, though what they had already completed in the program’s lessons is still theirs.

A removed person still has a certificate. That’s expected. Issued credentials aren’t revoked automatically. Handle them under Certificates.
